I use Microsoft Power Automate extensively in our organization. We use it for everything from sending automated emails based on dates in a SharePoint list to automating our Goals and Bonus program with a Power App, and many other uses. Our email automations are very simple. We use a SharePoint list with dates and a lookup column for email templates, then Microsoft Power Automate sends emails based on the templates at the selected dates. Our bonus program is much more complicated, with an employee selecting a previously filled and approved (via a Microsoft Power Automate flow) goals sheet. Then the sheet sets off an approval flow for their manager. We have a Microsoft Power Automate flow to unlock Salesforce accounts which have not been in use for more than a month, and another to open cases in Salesforce from emails or voicemail messages in Teams.

  • I REALLY wish I could just drop in a block of python or PowerShell code sometimes. The visual low-code things are great for moving around data but sometimes it would be faster if I could just tap out some code.
  • The DOM (Document Object Model) is not entirely apparent and takes a lot of trial and error, and sometimes it's even different between different connectors. I would love to be able to just see the path to access some specific variables from earlier processes.
Microsoft Power Automate is the best tool to extend Microsoft services you already use. Hands down.

Prototyping workflows is very easy in Microsoft Power Automate.

It's also the best choice for sending custom cards through Teams and email.

It's the easiest way to get data from Microsoft Graph.

I use Microsoft Power Automate to create simple workflows to help users/departments. Mostly related to SharePoint lists/libraries. Send notification for certain field values and update/calculate fields and some tasks for approval.
  • I'm getting more and more impressed by the AI builder option
  • Works well with the standard components in M365
  • The UI keeps getting better
  • Many times it doesn't feel very "low-code" or intuitive. AI builder is helping more and more.
  • Workflows should have a longer lifespan in days, we have approval processes that take months and it's very annoying to fix if the instance is stopped.

Microsoft Power Automate is suited for most workflow scenario's. For approval processes that take a long time it isn't suitable, or you have to cut up your workflow, which isn't always what you want.

Microsoft Power Automate is one of the best tool in the market to automate your flows and you can rely on this tool as it gives you an email notification if any of your automated flows fail. There are different types of flows that can be used to solve lots of business issues.
The platform is a low-code environment so I find it quite easy to use and works just perfect.
  • Sending confirmation email to clients and user once the flow is triggered.
  • Fetching or Dumping files from one location to another if the flow is triggered.
  • Schedule flow helps to send alerts and triggers the flow at a specific interval of time to carry out the required task.
  • Power Automate also be used to convert any file format to a specific file format and save it to the required location
  • Provide more information about the available templates and should give step by step information's, this will help the new learners learn quickly and also should add more templates
  • Can use AI when there is need for writing O queries.
  • Should implement AI technology just like co-piolet in Power BI, where the user can give command and the flow should get created tailored to the requirement.
Once I was stuck with an ETL functionality and was not able to pull the source file from Casamba and dump it into SQL because the number of columns kept changing and the file size was too big, that is when I got to know about Power Automate from one of my friend and I tried to create an automated flow and within a couple of days the flow was running whereas I was stuck from almost a month to make this happen.

1. Collecting site engineers daily time detail and pushing that detail to PeopleSoft (ERP)
2. Weekly cross ERP data reading, Creating reconciliation report, and pushing this report to Power BI
3. Reading daily unapplied cash items from ERP systems, Pushing them to the SharePoint list, and Sending push notifications to business teams to give the details

For automating repetitive tasks that helps in daily process. There was a problem in checking the mails everyday and processing the invoices attached with it. So with the help of Power Automate we are able to automate it by reading the mails as soon as it receives and process the invoices. This helped in SLA and was able to free 2 staffs from this process and they can concentrate on other processes.

In our organization we need to share the follow up Emails to the same receipents on periodic bases so this Microsoft Power Automate with flow is saving multiple time to draft and share the Email. Also it shares it with the recent communication so the time to search the last chain and add the participants, to add the body everything is saving and as we are not doing it manually there will be less chances of missing on the Email or missing on the persons.

Implement Business process primarily around sending emails, and status updates. Also used in Lift & shift of data between various systems. The availability of the connectors makes it very easy to integrate with other systems. Mostly used with SharePoint online in the backend. Automation tasks are also implemented when there is a need to schedule certain overnight jobs

I use Microsoft Power Automate to create approval processes. Requests are submitted using an MS Form form, the responses are collated in an MS List document and approve/deny requests are sent to decision-makers. In some cases, subsequent approvals are required from different individuals or teams, so I build a second approval process following the first. These usually end with a notification for action via email and/or MS Teams to the responsible team, after a request has been approved by the various levels of approval. Throughout the process, the List document is updated as to the decisions made and the progress of the request through the process, and the original form respondent, ie the requestor, is notified by email/Teams as well.

Microsoft Power Automate works well for creating a form that then initiates a simple approval mechanism, or adds a task to an MS Planner board. However complicated approval processes, say involving different paths/approvers depending on money amount threshold; In my opinion,it gets very fiddly and time-consuming, and subsequent maintenance or updates become difficult, particularly for someone who is new to this flow (ie not the original creator). Updating email addresses across a long flow is also a very manual process - a replace all function would be useful.

We use Power Automate to streamline and improve data entry, automatically add information required for reporting, communicate with colleagues about new gifts entered that are of importance to them, share when there is action requested from colleagues within and outside of the department, move data files used for reporting or importing, and track assignment progress.
  • Power Automate makes it easy to connecting a variety of applications together without any technical skill
  • Flow history makes it easy to troubleshoot and determine where exactly a flow has failed.
  • Flow checker points out errors before you move forward in a flow rather than having to test the flow and have it fail.
  • While this is a product largely built for low to no code users, I find some of the errors and instructions a bit too technical and could have a few more examples.
  • Copying and pasting apply to each loops or scopes is often no possible/fails.
  • Make it easier to create custom connections with limited API experience.
Power Automate is well suited for situations where there is set logic for business processes. Many times you likely already have instruction documents that can act as a blueprint or process map for building your flow. At this time I have yet to find a use case that was not well suited for Power Automate but would imagine ones that are relational between humans it would not do well.

We use Microsoft Power Automate (formerly Microsoft Flow) to automate business processes ranging from simple emails based on data entry to a full email survey system built using this software, Outlook, and Microsoft Forms. We use the vast amount of connectors to link our data to the solutions offered to create complex systems using very little code.

Microsoft Power Automate (formerly Microsoft Flow) is best suited for a low-code environment where you want to automate a solution that would normally require several systems. You can do this from a single solution and do so with little understanding of code. Microsoft Power Automate (formerly Microsoft Flow) does have some limitations where you would need to switch to Azure Logic Apps to obtain the right connectors for the job.

There are always forms and reports that need to be moved out of one system, and imported into another one. Power Automate is the perfect tool to do this. A new item added to SharePoint, or Teams files? You can automate how to archive the information, how to notify people that there is new content.

We use Microsoft Power Automate extensively throughout the business. My usage of it is to streamline, schedule, and automate the evaluation, training, and onboarding of qualified individuals who meet the skillset required for the job. It addresses the primary business problem of being able to track/manage thousands of candidates in a way that works for a temp/outsourcing firm. It does everything from staged onboarding to scheduled mailings of bespoke examinations, to preparing emails to our customers for items such as employee terminations. My scope handles over 90,000 unique records.
  • "When an item is changed in a SharePoint list, do ____" - very easy to trigger massive flows of data based upon a one-field change on a SharePoint list.
  • Being able to manually trigger from a Microsoft PowerApp button press to perform actions.
  • Scheduled tasks - once a day, get every record in (LIST) with (Filters) and do (Stuff) to them.
  • The Power Automate tool can often take upwards of 10 minutes to start a "When an item is changed" flow, which is very frustrating when the action is time-sensitive.
  • The Power Automate builder's search is hot garbage - it only searches the names of the already-fetched Flows. so if you are looking for a flow with the word "Resignation" in it, you have to sit there and click "Load More", and wait ~30 seconds per click for it to fetch more data.
  • The documentation is Poor at best, and even the Forums can be rather incorrect.
Microsoft Power Automate is Perfect for basic automation depending upon actions taken in a SharePoint list, or even to simplify your life. anything from "Once a week, back up any new documents in this folder to this other SharePoint", "on Monday morning, send trainees their login information", to "When someone books an event in my Outlook calendar, automatically schedule a 15m buffer meeting afterward to prevent meetings from overlapping". It's less appropriate for time-sensitive tasks that MUST be done immediately.

I used Power Automate for non critical business processes. I have developed tools to capture digital ideas using other Power Platform tools and I use Power Automate for the flow of information from one Power Platform tool to the other (MS Forms, Power BI and Power Apps). This allows users across my organisation to easily submit ideas which then Power Automate easily diverts all of this information to exactly where I want it such as a Power BI report and specific Sharepoint location to store this data. The key problem it addresses is the movement of data across my organisation which cleverly performs actions to route the user down a specific path. This is time consuming and has allowed me to send auto messages to the MS Teams environment. If I was to describe in one statement about Power Automate, I would say it is the cement to other Apps
  • Allows logic application to take User to chosen route
  • Moves data in a consistent manner
  • Bridges many Power Platform applications
  • The UX/UI could be improved as the landing page is far too busy and is quite overwhelming at first until you realise these do not apply.
For non critical business processes because sometimes inactivity causes the flow to be suspended, As mentioned, I used this in combination with other Power Platform tools which worked amazingly especially moving the data from one app to the other.

We needed a solution for our payables department to receive invoices from email attachments, going into a one drive folder. Microsoft Power Automate gave me the tools needed to design a product that achieves our end goal in simplifying payables document management. We linked it from our Exchange Online mailbox to our Microsoft OneDrive account.
  • Allows you to create automation and scripts that speed up productivity in the workplace.
  • Shows an overview of the workflow and job history.
  • Has lots of plug-ins with other Microsoft and third party vendors' product's.
  • Would like to see deeper integration with Exchange online, specifically the plugin realizing that an email is being sent via an alias address, not the primary SMTP address. We had to do a workaround that involved creating multiple single-member distribution groups to get power to automate to differentiate different email addresses going to the same mailbox.
  • The interface is slow to load at times.
The integrations for Microsoft products seem robust and reliable. It's well suited for workflows staying inside 365 products, but not as much when it comes to third-party integrations. Microsoft Power Automate also is not suited for IoT due to a lack of integration with those services.

I use Microsoft Power Automate to help clients automate their business processes, such as onboarding/offboarding, employee recognition and others. We typically use Microsoft Power Automate in conjunction with a forms tool - usually PowerApps or Microsoft Forms - and store data in SharePoint Online and/or Dataverse. Power Automate can be effective in automating any process which is repeated at your business as long as the rules for the process are well defined.

Business process automation is quite straightforward in Microsoft Power Automate. We have automated processes for HR (onboarding/offboarding), Communications (anonymous suggestion box, employee recognition), Finance (expense reimbursement), etc. You can automate simple and complex processes with Microsoft Power Automate, including notification emails and assigning tasks that the flow can track for completion by users.

We use Microsoft Power Automate to streamline various business processes and enhance overall operational efficiency within the organization, both within IT teams and the wider business. It is used primarily for workflow automation as manual processes can often lead to delays and errors in our workflows, especially when dealing with large volumes of data and complex approval processes. Power Automate is used to automate routine tasks such as data entry, approval workflows, and notifications, ensuring seamless and timely processing of tasks. This also frees up our employees to focus on more value-adding activities rather than spending time on routine, low-value tasks such as approvals.
  • Simple approval workflows with mail notifications
  • Seamless integration with other Microsoft products including Forms, Outlook, SharePoint etc. as well as other data sources
  • Automating basic data processing tasks such as validation, transformation, and loading
  • Creating complex conditional statements like nested conditions or intricate logical operations can be challenging due to UI limitations
  • Cannot set breakpoints so debugging flows and understanding errors in the flow logic can sometimes be difficult especially when dealing with large and interconnected workflows
  • Lack of version control features makes collaborative/team flow development difficult. It is often easier for one person/account to create a flow.
Power Automate works well for automating repetitive and routine tasks like data entry, form submissions, approvals etc. One specific example is automatically creating Microsoft Planner tasks for team members based on specific triggers or form submissions. It is also ideal for creating notification systems such as sending email alerts to designated users when specific events occur, such as new customer inquiries or low inventory levels. It is less suited to scenarios where very complex logic needs to be implemented or where processing very large data sets in real-time is required. For these kinds of scenarios we tend to use dedicated programming environments.

I use Microsoft Power Automate to automate the repetitive tasks which has low to moderate complexity but high in volume. I basically use Parent child bot methods to run concurrent processes. Business problems in which we have used Power automate are fetching data from the upline environment, processing it and then emailing it to the concerned departments. Another use case was to read content from the different documents (pdf, word) and using it to type into the client’s ERP system. We used Microsoft Power Automate’s AI builder feature to extract the content. In some use cases the ERP connector was not available so we managed to create custom connectors and able to push and pull data from clients proprietary systems.

It is well suited for a seamless integrations between apps, whereas it struggles when the workflow becomes complex. It can easily be learned for simpler tasks but require deep regular expressions knowledge for complex tasks. However with the advent of GenAi and AutoPilot in Power platform . Learning curve for these complex regular expressions will reduce greatly. Licensing part is also very confusing. Forms customisation not possible and hence you need Power apps for the same which again increases the license cost.

We are using Microsoft Power Automate to integrate multiple Office 365 applications and other third-party applications. It helped to automate multiple businesses as usual workflows which saved a lot of time for manual work. It does not require any coding skills and is very easy to use. Any kind of scenario could be easily automated with this tool instantly.

Microsoft Power Automate is beneficial for automating our work processes; it is activated when an event of the pre-selected processes occurs; there are immediate updates and send a notice. Scheduled flows take advantage of Microsoft Power Automate as they fire when we schedule them and quickly send an alert about an upcoming occurrence. Microsoft Power Automate is favorable in button flows, which are activated when we decide through a button.

The flow wizard is amazing for those who are unfamiliar. It helps in connecting to data sources from other products other than Microsoft. We use it on daily basis. This app support flow in multiple applications. And integrate seamlessly with any application.

The interface and code used are low-level and very easy to understand. The software is easy to deploy in the company from the beginning and benefits are seen almost immediately. It's very easy for freshers to understand. The graphical user interface to click and drag functions together to build an automated workflow. It also has advanced AI/ML analytics/functional capabilities.

I am using Microsoft Power Automate to create recurring tasking in Teams Planner for the entire department. We have daily, weekly, monthly, and yearly tasks that we have been copying the task cards for and I believed it would be more efficient for the team to have these tasks set-up as recurring tasks.
  • Our Finance teams annual audit task for our Accountants.
  • Finances daily and weekly A/P tasks.
  • Finances monthly A/R tasks.
  • It would be nice to have it linked to Teams.
  • It could have the codes in laymen terms for non-IT users.
  • It could have templates for daily, weekly, monthly, and annual tasks.
